This Privacy Policy describes how Anytime Appliance Repair LLC collects, uses, shares, and protects personal information when you use the Appliance Repair Academy, the Appliance Repair AI app, and our mobile applications.
1. Introduction
Anytime Appliance Repair LLC ("we," "us," "our," or "Company") operates the Appliance Repair Academy (the "Academy") at https://appliancerepairacademy.org and the Appliance Repair AI app (the "App") at https://appliancerepairai.org and via mobile applications on Apple App Store and Google Play Store (collectively, the "Services").
This Privacy Policy describes how we collect, use, share, and protect personal information when you use our Services. It also explains your rights regarding your information and how to exercise them.
By using our Services, you agree to the practices described in this Privacy Policy. If you do not agree, do not use the Services.

2. Age Requirement
The Services are intended for users 18 years of age or older. We do not knowingly collect personal information from anyone under 18. If we learn we have collected information from someone under 18, we will delete it promptly. If you believe a minor has provided us information, contact us at academy@aa-repair.net.
3. Information We Collect
3.1 Information You Provide
- Account information: Name, email address, password (encrypted), phone number (optional), business name (optional for technicians)
- Profile and progress data: Course progress, quiz/exam scores, completion timestamps, certificates earned (Academy)
- User-generated content: Diagnostic photos and videos you upload, repair logs you create, community posts, support tickets, assignment submissions (Academy), liability waiver acknowledgments
- Payment information: Billing name, billing address, and last four digits of payment card. Full payment card numbers are processed by Stripe and never stored on our servers.
- Communications: Messages you send us via support tickets, email, or in-app chat
3.2 Information Collected Automatically
- Device information: Device type, operating system, browser type and version, screen resolution, mobile carrier (mobile only), unique device identifiers
- Usage data: Pages and screens viewed, features used, time spent, click paths, error and crash data
- Network data: IP address, approximate geographic location derived from IP (city/region level only)
- Cookies and similar technologies: See Section 7
3.3 Information From Third Parties
- Authentication providers: If you sign in with a third-party service (such as Apple, Google, or magic link email), we receive your email address and basic profile data from that provider
- Payment processors: Stripe and (for mobile in-app purchases) Apple and Google provide us with transaction confirmations and subscription status
- Analytics providers: Aggregated usage data from services described in Section 5
4. How We Use Your Information
We use your information for the following purposes:
- Provide and operate the Services (account access, course delivery, AI diagnostics) — Legal basis: Performance of a contract
- Process payments and manage subscriptions — Legal basis: Performance of a contract
- Send transactional emails (receipts, completion certificates, support replies) — Legal basis: Performance of a contract
- Improve our products, train and refine our AI diagnostic models, build educational content — Legal basis: Legitimate interests
- Detect, prevent, and respond to fraud, abuse, and security incidents — Legal basis: Legitimate interests; legal obligations
- Comply with legal obligations (tax records, court orders, regulatory inquiries) — Legal basis: Legal obligations
- Send marketing communications about our own products (with your consent where required) — Legal basis: Consent (you may opt out anytime)
- Conduct research and analytics on aggregated, anonymized data — Legal basis: Legitimate interests
We do not use your information for automated decisions that produce legal or similarly significant effects on you. Our AI diagnostic tool provides suggestions only — it does not make decisions about your insurance, employment, credit, or legal status.
5. Third-Party Services We Use (Sub-Processors)
We share information with the following third-party service providers to operate our Services. Each is contractually required to protect your data:
- Supabase Inc. — Authentication, database, file storage. Account data, all user content, session tokens.
- Stripe, Inc. — Payment processing and subscription billing. Email, billing details, transaction history.
- Resend Inc. — Transactional email delivery. Email address, message content.
- Vercel Inc. — Web hosting and content delivery. IP address, request logs.
- Apple Inc. (App Store) — iOS app distribution and in-app purchases. Apple ID, purchase records.
- Google LLC (Play Store) — Android app distribution and in-app purchases. Google account ID, purchase records.
- Anthropic, PBC — AI assistant features (Marco instructor). Conversation content (no PII attached).
- Perplexity AI, Inc. — AI research and reference features. Query content (no PII attached).
- HeyGen Labs Inc. — AI avatar video generation (Academy lessons). Script content (no learner PII).
- Vimeo, Inc. — Video hosting (Academy curriculum). IP address, playback data (anonymized).
We do not sell your personal information to third parties for monetary or other valuable consideration. We do not share your information with advertising networks for cross-context behavioral advertising.
6. How We Use Anonymized Data (AI Training and Research)
To improve our diagnostic AI, build educational content, and develop our products, we may retain and use anonymized data derived from user activity, including:
- Diagnostic photos and videos submitted to the App
- Repair logs and outcomes
- Academy assignment submissions and discussion posts
- Aggregated usage patterns
"Anonymized" means that all personally identifiable information has been removed, including your name, email, account ID, IP address, device identifiers, and any other data that could reasonably be used to identify you.
Anonymized data is not subject to deletion requests under Section 9 because it can no longer be linked back to you. This is consistent with GDPR Recital 26, CCPA Section 1798.140(o), and similar provisions in other jurisdictions.
You may opt out of having your content used for AI training and research at any time by contacting academy@aa-repair.net. Opting out applies to content you upload after we receive your request; content already anonymized cannot be retrieved or removed.
7. Cookies and Similar Technologies
We use cookies and similar technologies (such as local storage and session tokens) for the following purposes:
- Strictly necessary: Authentication tokens (Supabase SSR auth cookies), security, load balancing
- Functional: Remembering your preferences and progress
- Analytics: Understanding how the Services are used (aggregated only)
We do not use third-party advertising cookies.
You can control cookies through your browser settings. Blocking strictly necessary cookies will prevent the Services from functioning correctly. Mobile apps use device storage and identifiers in lieu of browser cookies.
8. Data Retention
We retain personal information only as long as necessary for the purposes described in this Policy, unless a longer period is required by law.
- Account information (active accounts): While account is active
- Account information (after deletion request): 30 days, then permanently deleted
- Subscription/payment records: 7 years (tax/legal requirement)
- User-generated content (after account deletion): Anonymized indefinitely; PII removed within 30 days
- Support ticket history: 3 years from last interaction
- Server logs and analytics: 90 days
- Marketing email preferences: Until you unsubscribe
9. Your Privacy Rights
Depending on where you live, you may have the following rights regarding your personal information.
9.1 Universal Rights (All Users)
- Access: Request a copy of the personal information we hold about you
- Correction: Ask us to fix inaccurate or incomplete information
- Deletion: Request that we delete your account and personal information (subject to legal retention requirements)
- Portability: Request your information in a structured, machine-readable format
9.2 Additional Rights (EU/EEA, UK)
Under GDPR/UK-GDPR, you also have:
- Right to restrict processing in certain circumstances
- Right to object to processing based on legitimate interests
- Right to withdraw consent at any time (where consent is the legal basis)
- Right to lodge a complaint with your local data protection authority
9.3 Additional Rights (California, Virginia, Colorado, Connecticut, Florida, and other US states)
Under CCPA/CPRA, VCDPA, CPA, CTDPA, FDBR, and similar laws, you may have:
- Right to know what categories of personal information we collect and share
- Right to opt out of sale or sharing of personal information (we do not sell or share for cross-context behavioral advertising)
- Right to non-discrimination for exercising your rights
9.4 Additional Rights (Canada)
Under PIPEDA, you have rights to access and correct personal information, and to file complaints with the Office of the Privacy Commissioner of Canada.
9.5 How to Exercise Your Rights
Email academy@aa-repair.net with:
- The right you wish to exercise
- Your account email (so we can verify your identity)
- Any additional information needed to fulfill your request
Response timeline: 30 days (45 days for complex requests with extension notice). EU/UK requests responded to within 1 month per GDPR.
10. Account Deletion
You may delete your account through the Services at any time:
- Academy: Settings → Delete Account
- App (web): Settings → Delete Account
- App (mobile): Profile → Delete Account
Deletion process:
- 1. Your account is immediately marked for deletion
- 2. Active subscriptions are cancelled
- 3. You are signed out of all devices
- 4. Your personally identifiable information is permanently deleted within 30 days
- 5. You can restore your account by signing back in during the 30-day window
- 6. After 30 days, deletion is irreversible
Data retained after deletion (anonymized only):
- Aggregated and anonymized content for AI training and educational research (see Section 6)
- Payment and tax records as required by law (Section 8)
- De-identified analytics
11. International Data Transfers
We are based in the United States. If you access the Services from outside the US, your information may be transferred to and processed in the United States or other countries where our service providers operate.
For transfers from the EU/EEA, UK, or Switzerland to the US, we rely on:
- Standard Contractual Clauses (SCCs) approved by the European Commission
- UK International Data Transfer Addendum for transfers from the UK
- Additional safeguards as required by applicable law

12. Data Security
We implement industry-standard security measures, including:
- HTTPS/TLS encryption for all data in transit
- Encryption at rest for database storage (Supabase encrypted databases)
- Role-based access controls (RBAC) for our team
- Row-Level Security (RLS) on user data tables
- Regular security audits and monitoring
- Limited employee access on a need-to-know basis
However, no method of transmission or storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.
13. Children's Privacy
The Services are not directed to children under 18. We do not knowingly collect personal information from anyone under 18. If a parent or guardian believes their child has provided us with personal information, contact academy@aa-repair.net and we will delete it.
14. AI-Generated Content Disclosure
Our App uses artificial intelligence (provided by Anthropic and other AI providers) to generate diagnostic suggestions, troubleshooting guidance, and educational responses. You acknowledge:
- AI-generated diagnostic information is not a substitute for professional inspection by a licensed appliance technician
- AI suggestions may be inaccurate, incomplete, or outdated
- You should always verify safety-critical information (gas, electrical, water connections) with qualified professionals
- You assume all risk of acting on AI-generated suggestions
- We do not guarantee the accuracy of AI-generated content

15. Marketing Communications
We may send you marketing emails about our products and services. You can unsubscribe at any time by:
- Clicking the unsubscribe link in any marketing email
- Adjusting your notification preferences in your account settings
- Emailing academy@aa-repair.net with "unsubscribe" in the subject
Transactional emails (receipts, password resets, account notifications, certificates) cannot be unsubscribed from while you have an active account.
16. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. For material changes, we will:
- Email you at the address associated with your account
- Display an in-app banner notification
- Provide 30 days advance notice before the changes take effect
Non-material changes (clarifications, typo corrections, new sub-processor additions) take effect on posting, with the Last Updated date revised.
Your continued use of the Services after the effective date of changes constitutes acceptance.
